Billing Policy for Medical Phone Calls

At Holmdel Pediatrics, we are committed to providing high-quality care, even beyond office visits. To ensure we can continue offering this level of service, we are updating our billing policy for phone calls with our medical professionals.
This policy applies to medical-related calls and not to general administrative inquiries. Calls related to scheduling, billing, and other non-medical matters remain free of charge.
When Will a Medical Phone Call Be Billed?
A charge will apply only if:
- A prescription is issued based on your call.
- A provider reviews a picture (e.g., a rash, hives, or other concerns) sent during or after the call.
🔹 Important Note: If you speak with a nurse or administrative staff who forwards your message to a medical provider, and the provider issues a prescription or provides an analysis based on a picture, this is still considered a medical call and will be billed accordingly.
When Will a Phone Call NOT Be Billed?
Phone calls will not be billed as long as they do not result in a prescription being issued or require a provider to review a picture. This includes, but is not limited to:
- Urgent medical concerns (e.g., allergic reactions, difficulty breathing, or other serious symptoms where immediate advice is needed).
- 🔹 If you believe it is a true emergency, call 911 or go to the nearest emergency room.
- General medical inquiries about common illnesses (e.g., fevers, coughs, minor symptoms).
- Follow-up questions that do not require a new evaluation.
- Administrative calls (scheduling, insurance, billing, medical records, referrals, etc.).
Prescription Refills
- Refills requested during business hours will not be billed.
- Refill requests are not accepted after business hours.
Billing and Co-Pays
- If your call results in a billable service, your insurance (if applicable) will be billed.
- Co-pays apply for billable phone calls.
- All charges will be invoiced by our billing department.
- If a co-pay is required, it will be included on your invoice or collected at your next office visit.
What Should You Expect?
- If your call results in a billable service, you will receive an invoice from our billing department.
- A summary of the service provided and the billing details will be included.
